A note before you read this
We have tried to write this policy in plain language. We are a small, community-run platform — not a corporation with a legal department — and we think you deserve to understand exactly what happens to your information without having to decode legalese. If anything here is unclear, email us at frogbookhampshire@gmail.com, and we will answer directly.
This policy is not yet reviewed by legal counsel. We intend to have it formally reviewed as Frogbook matures as an organization. In the meantime, the principles below reflect our genuine commitments, not boilerplate.
Who we are
Frogbook is an independent, community-run platform and living archive for Hampshire College alumni, students, faculty, staff, and supporters. It is not affiliated with Hampshire College or any corporate entity. It is operated by volunteers on behalf of the Hampshire community. Our contact email is frogbookhampshire@gmail.com.
What information do we collect?
We collect only what we need to operate the platform. Here is what that includes:
Information you give us directly
When you register for an account, we collect your name, email address, and the answers you provide to the honor-system verification questions. You may optionally add a graduation year, division or area of study, location, pronouns, social links, and a bio to your member profile. You control what appears on your profile and can update or remove it at any time.
When you donate, your payment is processed by Stripe. We receive a record of the donation amount, date, and the name or alias you provide. We do not receive or store your card number, bank details, or any other payment credentials — those stay with Stripe under their own privacy policy.
When you submit content to the archive — photographs, written memories, documents, or other media — we store that content along with any caption, tag, or metadata you attach to it.
Information collected automatically
Our hosting provider, Hostinger, collects standard server logs including IP addresses and browser information as part of normal web server operation. We do not currently use any third-party analytics tools. We do not use tracking pixels, advertising cookies, or behavioral profiling of any kind.
WordPress and its plugins may set functional cookies necessary for login sessions, security, and basic site operation. These are not advertising cookies and are not shared with third parties for marketing purposes.
How we use your information
We use the information we collect to:
Operate your account and verify your connection to Hampshire College through the honor system. Provide access to the community features of Frogbook — the activity feed, spaces, direct messaging, and events. Display the content you contribute to the archive. Send you transactional emails related to your account, such as donation receipts or password resets. Maintain the security of the platform and prevent abuse.
We do not sell your data. We do not use your data to serve advertising. We do not share your personal information with third parties for their own marketing purposes.
Who we share information with
We share limited information with the following third-party services that are necessary to operate the platform:
Hostinger — our web hosting provider. They store the site’s files and database on their servers. Hostinger’s own privacy policy applies to their infrastructure.
Stripe — our payment processor. When you make a donation, your payment details are handled directly by Stripe. We receive only a record of the transaction. Stripe’s privacy policy governs how they handle your payment information.
GiveWP — the WordPress plugin we use to manage donation forms and donor records. Donor records are stored in our own WordPress database, not on GiveWP’s servers.
Open Collective — our public financial ledger. Donation amounts and any name or alias you provide may appear publicly on our Open Collective page at opencollective.com/frogbook as part of our transparency commitment. If you wish to donate anonymously, please indicate this when donating and we will list your contribution without your name.
Cloudflare — when our cloud storage is active, media files uploaded to the archive will be stored on Cloudflare R2. Cloudflare’s privacy policy applies to files stored there.
Internet Archive — in the future, we intend to mirror the Tainacan archive to the Internet Archive as a public preservation backup. Archive content — photographs, Div III submissions, and other contributed media — may become publicly accessible there. We will communicate clearly before any mirroring begins and will not mirror personal profile data.
We do not use Zapier, Make, or any other automation tool to share your data with services not listed here without informing you first.
Archive content and public visibility
Content submitted to the Frogbook archive — photographs, written memories, Div III projects, and other media — is intended to be visible to registered Frogbook members. Certain collections may be designated as publicly accessible without login, for preservation purposes. We will always indicate clearly on each collection whether it is members-only or publicly visible.
If you appear in a photograph or other media submitted by someone else and would like it removed or attributed differently, please contact us at frogbookhampshire@gmail.com. We take takedown requests seriously and will respond within a reasonable time.
A note on minors
Frogbook uses an honor-system registration process rather than verified age gates. We do not knowingly solicit personal information from children under the age of 13. If you are between 13 and 17, we ask that you have a parent or guardian’s awareness that you are using this platform.
If we become aware that a member under 13 has created an account, we will take steps to remove their account and any associated personal data. If you believe a child under 13 has registered, please contact us at frogbookhampshire@gmail.com.
We recognize that Hampshire College enrolled students who were occasionally minors, and that the honor system means we cannot perfectly verify age at registration. We are committed to handling any such cases with care and promptness when they come to our attention.
Your rights over your data
Regardless of where you are located, we honor the following:
You can access the personal information we hold about you by emailing us. You can correct or update your profile information directly through your account settings. You can request that we delete your account and the personal data associated with it. Where technically feasible, we will honor deletion requests within 30 days. Note that content you have contributed to the archive — photographs, submissions — may be retained in anonymized or attributed form as part of the historical record, unless you specifically request its removal. You can request a copy of the data we hold about you in a portable format. You can withdraw consent for us to hold your data at any time by closing your account.

Data retention
We retain your account information for as long as your account is active. If you close your account, we will delete your personal profile data within 30 days. Donation records are retained for financial accountability purposes in line with our Open Collective public ledger commitments. Archive content you submitted will be handled according to your instructions at the time of account closure — we will contact you to clarify your wishes.
Security
We take reasonable technical precautions to protect your data, including SSL encryption on all site traffic, WordPress security hardening, and regular backups via Hostinger. We are a small volunteer-run platform and cannot guarantee absolute security, but we will notify you promptly if we become aware of any breach affecting your personal information.
Cookies
We use only functional cookies necessary for the site to operate — login sessions, security tokens, and basic WordPress functionality. We do not use advertising cookies, tracking pixels, or third-party analytics cookies. You can disable cookies in your browser settings, though doing so will prevent you from logging in.
Changes to this policy
If we make material changes to this policy, we will notify registered members via the platform and update the date at the top of this page. We will not retroactively reduce your privacy rights without explicit consent.
